What to check before sharing application project files on Suite

Build a dependable shared-project workflow with Suite media access and your application’s supported locking or handoff model.

Pair shared media with a clear collaboration model

Suite brings project media into a shared filesystem; your application’s collaboration model determines how people coordinate edits to project files. Choose the supported locking or handoff method and agree on ownership before simultaneous editing. Together, accessible media and clear project coordination help distributed collaborators keep work moving without conflicting changes.

The appropriate method depends on the application and project structure. Do not infer that every project file, database or library is safe for concurrent editing because its media is accessible through a shared drive.

Identify the object that needs coordination

List the files or application objects that contain editorial decisions: project files, bins, libraries and related state. Separate these from source media and generated outputs. Then identify the intended editing pattern: one person at a time, separate projects in a production or supported simultaneous collaboration.

Name the owner of each active handoff. Record how another person knows when ownership changes. A chat message may communicate intent, but it does not establish that an application released its lock or that a pending upload finished.

Follow the application-specific guidance

Suite's Premiere guidance calls for enabling project locking and choosing among handoff, Productions and Team Projects workflows. Use the configuration appropriate to the actual project and Premiere version.

Suite's Resolve guidance distinguishes Cloud, Local and Network Project Libraries. It warns that a Local Project Library lacks native locking and describes a sequential handoff after closing it and finishing the upload. Do not present that arrangement as automatic concurrent collaboration.

For Avid, Suite's Media Composer guide describes Mimiq by Hedge for bin locking and refresh on a shared project. Validate required software and configuration rather than assuming mounting Suite alone provides those application behaviors.

Rehearse a controlled ownership change

Use a disposable project with a recognizable edit. Have the first operator save and close through the chosen workflow, confirm completion, then hand over to the second operator. Verify the second person sees the intended edit before continuing.

If simultaneous work is required, test that exact supported collaboration mode separately. Observe the application's ownership indicators and conflict behavior without deliberately risking production project data. Record any behavior the documentation or pilot does not establish.

Make the handoff rule visible to the team

Write a short rule naming the project, collaboration mode, current owner and completion check. Include what to do when the previous owner cannot be reached or the project state is uncertain. Route uncertain states to the responsible operator rather than forcing a lock or overwriting a shared project.

The result should be a repeatable editing agreement supported by the actual application configuration. Suite's shared access is useful when that agreement is clear; storage access alone does not replace the application's collaboration rules.
